KASA Luxury Inn – Detailed Hotel Terms and Conditions
Reservation Policy
Reservations can be made through our official website (www.kasaluxuryinn.com), by calling our reception No.: 9443624061, or by sending an email to kasaluxuryinn@gmail.com.
All reservations are subject to availability and are confirmed only after receiving an advance payment. Guests booking through third-party
channels such as Booking.com or MakeMyTrip should refer to their respective terms and cancellation policies.
Upon confirmation, a booking email with reservation details will be sent. Guests must verify all information in the confirmation email and immediately
report any inaccuracies or required changes.
Check-In and Check-Out
Standard Check-In Time: From 12:00 PM onwards. Early check-in may be accommodated based on availability and may attract additional charges.
Standard Check-Out Time: By 10:00 AM. Guests must check out by the specified time to allow housekeeping to prepare the room for the next guest.
Late Check-Out Policy: Requests for late check-out must be made in advance and are subject to room availability. If granted, additional charges
will apply depending on the duration of the extended stay.
Failure to check out on time without prior approval may result in additional charges equivalent to a half-day or full-day rate.
Early Departures
If guests wish to check out earlier than the reserved check-out date, they are requested to notify the front desk at the earliest opportunity.
Please note that no refund will be provided for unused nights in case of early departure unless specified in the original booking agreement.
Payment Terms
Accepted Payment Methods: We accept all major credit cards, debit cards, UPI payments, bank transfers, and select online wallets.
Advance Payment: Certain bookings, particularly during high-demand periods or promotional offers, may require advance payment to confirm the reservation.
Balance Payment: For guests booking directly at the property, full payment must be settled at the time of check-in.
Deposit Policy
A refundable security deposit may be collected at the time of check-in. This deposit is to cover incidental expenses or damages caused during the stay.
It will be refunded in full at the time of check-out provided no issues are reported.
Group Bookings
For reservations involving five (5) or more rooms, special group booking terms apply. This may include mandatory deposits, specific check-in/check-out
times, and separate cancellation policies. Group reservations may also be required to sign a contract outlining these terms.
Modifications to Reservations
Guests are allowed to modify their reservations, such as changing dates, room types, or the number of guests, subject to availability.
Price adjustments may apply depending on the nature of the changes.
Modifications made within 72 hours of check-in may not be accepted or could be subject to a change fee.
Cancellation & Refund Policy
Standard Cancellations: Cancellations made 7 or more days before the check-in date will receive a full refund, minus any applicable processing or
transaction fees.
Late Cancellations: Cancellations made within 72 hours of check-in time will incur a one-night charge. This amount will be deducted from the
advance paid.
No-Shows: Guests who do not arrive without prior notice will be charged the entire reservation amount and the booking will be considered forfeited.
Refund Process: If eligible, refunds will be processed to the original payment method within 7–14 working days depending on the bank or service provider.
Guest Conduct & Hotel Etiquette
All guests are expected to behave respectfully and courteously towards staff and other guests at all times. Disruptive, violent, or inappropriate
behavior may result in eviction from the premises without any refund.
Noise Policy: Quiet hours are enforced from 10:00 PM to 8:00 AM. Guests are requested to avoid loud music, shouting, or gatherings during these hours.
Identification & Room Usage
All guests must present a valid government-issued photo ID at the time of check-in (e.g., passport, Aadhaar card, driving license).
Only registered guests are allowed to stay in the rooms. Visitors may be permitted during the day at the hotel’s discretion but are not allowed
to stay overnight without prior approval.
Room occupancy is limited based on room type. Children aged 10 years or older are considered adults for occupancy and billing purposes.
Damage, Cleanliness & Prohibited Activities
Guests are liable for any damage caused to hotel property including furnishings, electronics, or fixtures. Cleaning or repair charges will be billed accordingly.
Smoking is strictly prohibited in all rooms and public indoor spaces. A deep cleaning fee of ₹2000 will be charged if smoking is detected.
Cooking, laundry, and outside food consumption in rooms are strictly prohibited. A cleaning penalty of ₹5000 and eviction may apply for violations.
Food and Beverage Policy
Complimentary Breakfast: Breakfast is included for all registered guests and is served in the restaurant between 7:00 AM and 9:00 AM. No takeaways or in-room service is allowed for complimentary breakfast. Guests must be present within the designated hours. No extensions or compensations will be given for late arrivals or early departures.
Restaurant and In-Room Dining: The hotel offers South Indian and Chinese cuisine through its restaurant and in-room dining service from 8:00 AM to 10:00 PM. Food will be delivered to your room within approximately 30–45 minutes. Menu and service are subject to availability.
Outside Food: Guests are strictly prohibited from bringing outside food into the hotel premises. Violations will incur a cleaning fee of ₹1000 per instance. Additional charges may apply if property damage or strong odors are detected.
Allergy & Dietary Requests: Guests must notify the hotel about any dietary restrictions or allergies when placing food orders. While we attempt to accommodate dietary needs, the hotel cannot guarantee allergen-free food.
Campfire Policy
Timings: Campfire service is available between 7:00 PM and 10:00 PM only.
Advance Booking: Guests must reserve the service in advance with full payment. No refunds will be issued for cancellations or no-shows.
Rules: No alcohol, loud music, smoking, or throwing of objects into the fire is allowed. Hotel reserves the right to stop the campfire immediately if any rules are violated. Children must be supervised.
Weather Cancellations: In the event of rain or strong wind, campfire may be canceled for safety reasons. No refunds will be offered.
Liability: Guests are responsible for their personal safety. The hotel will not be liable for any injury, burn, or loss occurring at the campfire site.
Guest Room Inspection Policy
Upon check-in, guests are requested to inspect their room for missing or damaged amenities and report issues within 1 hour to the reception. Failure to do so may result in charges for damages discovered at check-out.
Items to Inspect: TV, lights, bathroom accessories, furniture, windows.
Strictly Prohibited: Cooking or washing clothes in the room. Penalty of ₹5000 and eviction applies for violations.
Internet and Technology
Wi-Fi: Complimentary Wi-Fi is available in rooms and public areas. Guests must use the internet responsibly and not engage in illegal or high-bandwidth activities.
TV & Entertainment: The hotel is not liable for unavailable TV channels due to signal or weather issues. Paid channels require guest-initiated subscription. No refunds or compensations apply.
Driving & Vehicle Policy
Location: The property is situated 4 km uphill from Kodaikanal. Guests are responsible for ensuring their vehicle and driver are suitable for hilly terrain.
No Refund: Cancellations due to vehicle breakdowns, driving challenges, or driver issues will not be entertained.
Alternative Transport: If public roads are closed, the hotel may assist in arranging transport but is not obligated to do so.
Force Majeure
In case of unforeseen circumstances such as natural disasters, strikes, pandemics, government restrictions, etc., the hotel will attempt to offer alternative dates or flexible rebooking options. However, no refunds will be granted unless explicitly agreed.
Limitation of Liability
The hotel will not be responsible for any direct or indirect loss, damage, or personal injury arising from the use of its services, unless proven due to gross negligence by hotel staff. The hotel is also not liable for theft or loss of guest belongings.
Guests are advised to store valuables in the in-room safe. Any claims made after check-out will not be entertained.
Changes to Terms
The management of KASA Luxury Inn reserves the right to amend, update, or modify these terms and conditions without prior notice. Guests will be informed of major changes via email or on-site notifications.
Guest Acknowledgment
By making a reservation or staying at KASA Luxury Inn, guests agree to all terms and conditions stated in this document. These terms form a binding agreement between the guest and the hotel.
